    Position Objective

    Responsible for the physical management and administration of lease obligations pertaining to the Property Management function. This includes responsibility for the condition and presentation of a portfolio of allocated assets.

    To ensure that the administration of lease obligations and the physical performance of the assets are undertaken to the highest possible standard. This will mitigate the risks associated in achieving our financial objectives.

    Key Responsibilities

    +    The management of arrears as delegated by the Asset Manager;

    +    The preparation and finalization of an annual operational expenditure budget for each property;

    +    The preparation and finalization of an annual capital expenditure budget for each property;

    +    The preparation and finalization of an annual reconciliations of operational expenditure for each property;

    +    Ensuring that contractors and service providers satisfactorily complete contracted tasks including responding to contractor inquiries, preparing necessary bids/contacts, COI and lien releases. Ensure all timely payment of all invoices;

    +    Administering all matters relating to insurance including responding to risk assessment reports, responding to all inquiries from the Risk Management Department and providing all property related information required for insurance claims;

    +    Ensure all rent reviews are undertaken in accordance with the requirements of the lease;

    +    Maintain a current accurate tenancy schedule for all properties within the Yardi platform;

    +    Preparation of lease approval forms and corresponding lease set-up documentation for all new Leases, licenses, renewals and short term occupancies;

    +    Responsible for 100% accuracy with lease set up including; tenancy schedule, lease abstract and tenancy charges. This will be achieved through 100% accuracy of the lease approval and lease set up forms, liaison with the Asset Manager and by undertaking a review of final lease documentation as signed off by the external lawyers;

    +    Manage the process of coding of invoices, obtaining all necessary approvals and communication with Property Finance / Shared Services to ensure payments are made within a timely manner;

    +    Ensure electronic Due Diligence files are kept up to date and accurate;

    +    Prepare Capex approval forms in accordance with the delegated authority and capital expenditure approval process;

    +    Individual must prove to makes good decisions in a timely manner, based upon a mixture of analysis, wisdom, experience and judgment;

    +    Developing and maintaining strong relationships with customer key on site contacts and administration representatives;

    +    Developing and maintaining strong relationships with all Customers and must have a passion for customer service excellence;

    +    Responsible for the physical presentation of all assets including building façade, hardstand, landscaping and common areas within the building. This includes responsibility for scope, quoting and the project management of upgrades;

    +    Responsible for the presentation of all vacant units and ensuring that all vacancy meets the required Goodman standards;

    +    Responsible for the completion of make good for all vacated tenancies including negotiation with the departing customer, scoping of works, quoting approvals, appointment of contractors and project management to meet the required Goodman standard;

    +    Responsible for regular inspections of all assets with the Asset Manager;

    +    Responsible for the identification of site risk and non-compliance matters and ensuring appropriate correspondence is provided to resolve matters;

    +    Responsible for ensuring harmonious relationships with key site contacts and tenant representatives resulting in the customer being satisfied with the management of the physical and lease administration requirements of Goodman;

    +    Required to have a comprehensive understanding of the contractual requirements for all physical and structure service providers;

    +    Responsible for advising the contracts manager of the key scope requirements for portfolio assets;

    +    Requires a team oriented individual, with the ability to build consensus and effective relationships in a cohesive business environment;

    +    Individual must be driving to encourage and supports leadership and growth in others.

    +    Responsible for the management of minor works projects;

    +    Any other duties as requested by the Employer.

    Knowledge, Experience and Skill Requirements

    Specific areas of knowledge

    +    Completed a Bachelor’s degree

    +    Job and technical knowledge

    +    Administrative function – required to have a knowledge of all administrative functions required to be undertaken as a Property Manager specializing in Industrial – with experience in Retail

    +    Legal/lease documentation – have a comprehensive understanding of a proprietary property and finance platform such as Yardi

    +    Physical/structural – have knowledge of the physical and structural elements of industrial, business park and retail

    +    Compliance – have an understanding of the key components of the local zoning regulations as it applies to permitted uses for industrial and business park assets

    Property Management

    JLL has an exciting opportunity to join our Industrial Property Management team in New Jersey overseeing a portfolio of e-commerce warehouse/distribution centers.

    ** Will have the option to office out of 1 of 3 locations. The Parsippany, Iselin or East Rutherford office.

    Coordinate all aspects of property management, including the development of effective relationships with JLL Clients and tenants; supervision of staff; general property maintenance; implementation capital improvements and financial reporting and record keeping.  The General Manager position is a player / coach – managing the local team and managing properties.  Specific responsibilities include the following:

    • Tenant Move-ins including the preparation of commencement letters and lease administration
    • Act as liaison between tenant and construction management and participate in punch list walk-through and follow-up; coordinate finish selections
    • Evaluate annually all service contract requirements and oversee property maintenance contracts
    • Coordinate repairs, maintenance and site inspections
    • Processing of Accounts Payable
    • Collections of Accounts Receivables
    • Annual budget preparation
    • Monthly variance reports, ensuring accurate data updates of any lease changes Development of a comprehensive capital improvement schedule for each property

    Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.  Ability to respond to common inquiries or complaints from tenants, regulatory agencies, or members of the business community.  Ability to write speeches and articles for publication that conform to prescribed style and format.  Ability to effectively present information to top management, public groups, and/or boards of directors.


    High Skills:  Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

    Busy Central NJ Office requires an Administrative Assistant for their Property Management Team. This entry level position will support the Property Management Department by performing various Customer Service, Administrative and Accounting functions. The goals are to facilitate tasks so that strong, long-term relationships with tenants and vendors are created and maintained. This enables the team to provide the highest level of service to our tenants, ensuring their long-term occupancy.

    Essential Duties:

    •        Accounts Payable processing, analyze invoices for accuracy, code to G/L account and Post in Accounting Program.
    •        Answer telephones, make copies, and distribute incoming mail.
    •        Quickly address Maintenance Service Requests from tenants, using facility management software.
    •        Follow up on a timely basis if unable to respond to tenants on all matters.
    •        Research Accounting System to resolve vendor and payment disputes.
    •        Maintain and organize files and database.
    •        Ensure Insurance compliance for tenants and contractors.
    •        Correspondence and letter/email writing.

    Required Skills:

    •        Excellent verbal and written communications.
